Invoice – Payments
What it is about
The Payments tab shows all payment entries recorded for the invoice. Here you can see at a glance when the payment was received, from which source it was recorded, and what parts of the amount the entry includes.
Getting started
- Go to Invoices in the menu on the left-hand side.
- Click the number of the invoice you want from the list.
- Click the Payments tab at the top of the invoice.
What you can do on this page
Browse payments
Payments are displayed in a table, with each recorded payment on its own row. The table columns are:
- Payment — the payment identifier, which you can click to view more detailed information about the payment
- Payment date — when the customer made the payment
- Entry date — when the payment was recorded in the system
- Payment source — where the payment was recorded from, e.g., manually or via bank statement
- Amount — the amount paid
- Collection fee — any applicable collection fee
- Late payment interest — any applicable late payment interest
- Discount — any granted discount
- Rounding — any rounding applied
Editing the invoice
You can edit the details of the selected invoice by clicking the Edit button at the top right of the page.
Copying as a credit note or new invoice
You can copy the selected invoice as a credit note by clicking Copy at the top right of the page and then selecting Copy as credit note. Copying as a new invoice is also possible from the same Copy menu by selecting Copy as new invoice.
Invoice preview
You can preview the selected invoice by clicking the Preview button at the top right of the page. This opens a view where you can see how the invoice would actually look.
Send invoice
You can send the invoice from this page by selecting Send at the top right of the page.
From the hamburger menu at the top right of the page, you can also select separate actions related to the selected invoice:
- Send by email — Send the invoice by email with a customisable message to the selected customer
- Add payment — Add a payment for this invoice
- Cancel invoice — Cancel the invoice
- Add payment term — Add a payment term to the invoice
- Set to settlement status — Set the invoice to settlement status
- Send reminder — Send a reminder for the invoice
- Send to collection — Send the invoice to a collection agency
- Cancel collection — Cancel the collection of the invoice
- Delete — Delete the invoice from the system
Tips and notes
- Clicking the payment identifier takes you to the payment’s own page, where you can see all the details of the entry and, if necessary, edit or delete the payment.
- There can be multiple payments under the same invoice — for example, if the customer has paid the invoice in two instalments or part of the amount has been covered by late payment interest and part by a collection fee.
- Payment source indicates whether the payment was recorded manually or has come automatically, for example via bank statement import — this helps to trace any possible recording errors.
