Accounting Report Settings

What this is about

This page manages the default settings for Vektor's accounting reports. You can define how transactions are grouped in reports, which sensitive information is hidden, and which vouchers are included by default in printouts. These settings streamline recurring reporting and ensure data protection.

Getting started

1. Go to Settings in the main menu on the left.
2. Select Accounting from the settings menu.
3. Click on Report Settings in the view that opens.

What you can do on this page

Default selections for accounting transactions

Here you define how the "Accounting Transactions by Date" report looks and what it includes by default.

• Grouping: Choose your preferred presentation style for reports. You can group data by transaction, by date, monthly, or select a concise summary.
• Hide customer names: Select Yes if you want to anonymise reports by hiding customer names (useful, for example, for data protection reasons if the report is shared further).
• Hide account names: Select Yes if you want to hide the names of accounting accounts, showing only the account numbers.
• Voucher types: Use the checkboxes to select which vouchers you want to include in reports by default (e.g. Invoice, Cash Receipt, Payment, Account Transaction, Late Payment Interest Income).
• Saving: After making your choices, always remember to click the blue Update button.

Tips and notes

• Saves time daily: These are default settings as the name suggests. Even if you set certain rules here, you can often still change selections on the fly when running an individual report. Properly configured defaults save time every month.
• Consider data protection (GDPR): Hiding customer names is highly recommended if financial reports are handled in meetings or shared with stakeholders who have no justified reason to see individual customers’ personal data.
• Ask your accountant: If you are unsure which vouchers you need to submit for accounting or which grouping is best, check with your company’s accountant. This ensures the system produces data that suits them best.
