Product Management Settings
What it is about
This page manages Vektori’s product register and the basic settings of products. You can define default values for products, create and edit individual sales and stock products, build clear product group hierarchies, define sales units and their conversions, as well as create campaign- or customer-specific price lists.
Getting started
- Go to Settings in the main menu on the left-hand side.
- Select Product Management from the settings menu.
- The settings menu is divided into five sections: General, Products, Product Groups, Units and Price Lists. Choose the desired section by clicking its heading.
What you can do on this page
- General
Here you manage the basic settings and defaults for the entire product register.
- Default product values: Define which purchase, stock and sales unit (e.g. pcs) and tax rate (e.g. 25.5%) the system suggests by default when creating a new product. You can also choose whether the product is immediately active as a sales product and whether stock tracking is enabled by default.
- Product code generation: You can set the system to create product codes automatically by giving them a prefix (e.g. "PR") and a length (e.g. 6 characters, so the new code would be in the form PR0012).
- Dropdown lists and account types: Define the criteria for sorting products and select the account types to be shown for accounting purposes.
- Remember to press Update at the end to save your changes.
- Products
Here you maintain your actual product register.
- Creating a new product: Click + New product at the top right corner.
- Fill in the mandatory fields: Name, Sales unit, Tax and Price.
- You can also enter product and EAN codes, purchase price and a detailed description.
- Use the checkboxes (Sales product, Stock tracking, Active) to define the product’s behaviour in the system.
- Import and export: From the "Import/Export" buttons at the top left corner, you can download an Excel template and import a large number of products at once.
- Mass actions: You can manage multiple products at once or create product labels from the "Mass actions" menu at the top right corner.
- List view: Columns (e.g. price excluding/including tax) can be customised from the settings icon at the top left of the table. Use the filters on the right-hand side to quickly find what you are looking for.
1. Product Groups
Here you categorise products into logical categories (e.g. "Flowers", "Hourly work").
- Creating a new group: Click + New product group. Give the group a name and optionally a description.
- Main group selection: This setting allows you to create subgroups and hierarchies by selecting a top-level main group for the new group.
- Views: You can view the created groups as a traditional table (List view) or as a visual tree structure (Tree view) using the buttons above the listing.
2. Units
Here you define sales units and their conversion ratios. The section has two tabs:
- Units: A list of all basic units (e.g. l, cl, pcs, 10-pack). You can create a new unit by clicking + New product unit and giving it a name.
- Conversions: Here you define how units relate to each other (e.g. "10-pack" equals 10 "pcs", or "0.25 l" equals "25 cl"). Create a new rule by clicking + New conversion, select the source unit, target unit and enter the factor in "Portions / Conversion".
3. Price Lists
You can create parallel price lists where product prices differ from the normal recommended retail price (RRP).
- Creating a new price list: Click + New price list. Give the price list a Name and description.
- Pricing products: Select the products that belong to this price list from the "Products" dropdown menu. You can then enter your own tax-excluded or tax-included prices that differ from the normal RRP on the rows that appear in the list. Finally, press Save.
Tips and notes
- Unit conversions simplify stock management: With conversions, you can purchase products in bulk packages (e.g. a box) and sell them individually (pcs), so that the stock balance decreases automatically in the correct proportion.
- Make use of product group hierarchies: By building a clear tree structure with the Main group selection (e.g. Clothing -> Shirts -> T-shirts), you significantly ease browsing and finding products both on the cash register screen and in reports.
- Target price lists: Price lists are very handy when you want to offer, for example, wholesale discounts to B2B customers or loyalty prices. You can link a created price list directly to a specific customer group in Customer Management (CRM), so that those customers are always offered the price according to the price list by default.
