Supplier Card – Purchase Suggestion
What it is about
The Purchase Suggestion tab automatically displays all products from the supplier whose stock balance has fallen below the set alert threshold. The system compiles these products into a ready-made list, based on which you can create a purchase order with one click. This saves significant time, as you do not need to manually check the stock status of each product separately.
Getting started
- Go to Suppliers in the left-hand menu.
- Click the name of the desired supplier from the list — the supplier card will open.
- Click the Purchase Suggestion tab.
What you can do on this page
View products below the alert threshold
The page displays in a table all products from the supplier whose stock balance has fallen below the set alert threshold for the product. For each product, the following is shown:
- ID — product identifier
- Name — product name, which you can click to access the product details
- Purchase price — the purchase price from the supplier
- Price (excluding tax) — selling price without tax
- Price (including tax) — selling price with tax
- Stock alert threshold — the alert threshold set for the product
- Available quantity — current stock balance. A negative number means the product has been sold into negative stock
Select products to order
There is a checkbox at the left edge of each product row. You can select individual products or all products at once. This allows you to exclude some products from the purchase order if necessary.
Create a purchase order from the suggestion
Once the desired products are selected, click the Create Purchase Order button. The system will automatically create a new purchase order for the selected products from the supplier — the supplier details and selected products will be filled in automatically on the order.
Tips and notes
- Alert thresholds are set per product in the product settings — the more precisely alert thresholds are set, the more useful the purchase suggestion becomes in daily use.
- Negative stock balance means the product has already been sold more than is in stock — these products should be prioritised in the order to ensure open orders can be fulfilled as soon as possible.
- Review the purchase suggestion regularly — for example, a weekly check by supplier ensures stocks remain at an adequate level and products do not run out.
- You can select only some of the products — if a product is already ordered elsewhere or you do not want to order it yet, simply leave it unselected before creating the purchase order.
