Product Groups
What it is about
On the Product Groups page, you manage the grouping of products. Product groups organise the product list into logical entities and are directly visible in the till’s product selection — the structure works like a folder system, where you can move deeper from the main group to subgroups and back. A well-designed group structure significantly speeds up finding products at the till.
Getting started
The Product Groups page can be found in the left-hand navigation menu under Product Groups within the Product Management section.
What you can do on this page
Views
In the top right corner of the page, you can switch between two views:
Tree view displays product groups as a hierarchical tree structure, where main groups are at the top level and subgroups are indented below them. By collapsing and expanding groups, you can easily see the entire structure. The number of products is shown in brackets after each group name. In tree view, you can sort groups by name, cost centre, activity status or number of products, either ascending or descending. Tree view is the easiest way to understand how the structure looks at the till.
List view shows all product groups in a table format. The table columns are Name, Main Group, Cost Centre, Active and Visibility. In list view, you can filter groups by name, main group and visibility, as well as select the number of rows displayed at once.
Editing columns in list view
From the hamburger menu in the top left corner of the table, you can select which columns to display. Available columns are: ID, Name, Main Group, Cost Centre, Active, Visibility, Created and Updated.
Group-specific actions
On the left edge of each row is an action button, which opens a menu with the following options:
- Show — opens the product group information view
- Edit — opens the edit view
- Delete — deletes the product group
Create a new product group
Click the + New product group button in the top right corner. Fill in the following details on the form:
- Name — the name of the product group (required field)
- Description — a free-form description of the product group
- Main group — select the main group if this is a subgroup. Leave empty if the group is a top-level main group.
- Sales account (VAT 0%) — accounting sales account for tax-exempt sales
- Sales account — accounting sales account
- Purchase account — accounting purchase account
- Inventory account — accounting inventory account
- Cost centre — the cost centre of the product group
- Visibility — select on which tills or premises the product group is visible. Leave empty if the group is global.
- Active — checkbox; an active product group is normally visible in the system
Save the product group with the Save button.
Product groups at the till
Product groups appear as a folder structure in the product selection at the till’s bottom menu. The structure follows the main group–subgroup hierarchy:
- The bottom menu of the till shows top-level main groups as well as the All option, which displays all products regardless of group, and the No product group option for products not assigned to any group
- Clicking a main group moves you deeper into its subgroups
- From a subgroup, you can go back to the higher level using the arrow button
Tips and notes
- Plan the structure in advance — consider how products are most naturally grouped at the till. Too many levels slow down finding a product, so two levels (main group and subgroup) are usually sufficient.
- Tree view is the easiest way to check how the folder structure looks at the till — the deeper a group is in the tree, the deeper it is in the till’s folder structure as well.
- The Visibility field should be filled if different product ranges are sold at different premises or tills — this way, only the relevant selection is visible at the till at any given time.
- Accounting accounts can be set at the product group level, so sales of all products in the group are by default posted to those accounts — this saves time in individual product settings.
- Deletion should be done with caution — first ensure the product group contains no products or move the products to another group before deleting.
