Creating a New Time Entry
What It’s About
In the time entry form, you record details of the work done into the system. The form allows you to allocate hours to the correct customer, project, and type of work, as well as mark the entry as billable. On the same page, you can see previous entries for that day.
Getting Started
- Go to Time Entries in the menu on the left-hand side.
- Click the + New Time Entry button at the top right corner.
Fill in the Entry Details
Complete the following details on the form:
- Date — the date for which the entry is made (mandatory). You can type the date into the field or select it from the calendar. Next to the date, there are quick-select buttons for the days of the current week — clicking a day shows the hours already recorded for that day.
- Employee — whose hours are being recorded (mandatory)
- Customer — the customer to whom the work is allocated, selected from a dropdown menu
- Project — the project related to the work, selected from a dropdown menu
- Type of Work — the kind of work done, selected from a dropdown menu (mandatory)
- Description — a free-form description of the work performed
- Time — the number of hours worked
- Billable — tick this box if the entry is for billable work
Save the entry by clicking the Save button.
TOP 10 Quick Selections
In the top right corner of the form, you will see a TOP 10 list of the most frequently used customer-project combinations. Clicking on an item in the list will automatically fill in the customer and project fields, speeding up repeated entries.
Entries for the Day
Below the form, a table displays entries already made for the selected day. The table shows the customer, project, type of work, time, description, and billability. This helps to identify overlaps and review the total entries for the day.
Tips and Notes
- Make use of the TOP 10 Quick Selections if you frequently make entries for the same customers or projects — it saves a considerable amount of time.
- The week day buttons next to the date display the hours already recorded for each day, so you can quickly see if a day has been missed.
- It is important to correctly mark the Billable option, as it directly affects which hours can be invoiced to the customer.
- Choose the Type of Work carefully — this makes it easier to interpret time reports and track different types of work afterwards.
